Planning Your Event

Early planning for your event will enhance your experience. After you identify your possible dates, please contact Pat Stalker in University Relations to check space availability. Her number is 262.243.4308. For your food needs, please call Aimee Damico, the Sodexho Catering Manager at 262.243.4494 during regular business hours. Our professional catering staff will help you to make your event a success. For this reason, we ask that you contact us a minimum of two weeks prior to your function.

 
Terms and Conditions
 
  1. Sodexho holds exclusive catering rights on the Concordia University Wisconsin campus.

  2. Guaranteed Number: Our policy requires a final guarantee three business days prior to your event. The guaranteed number for events on Monday, Tuesday and Wednesday must be made by 11:00 am the preceding Friday. The guarantee will provide the count for minimum billing unless the number present exceeds the guaranteed plan. Non-CUW groups will be required to give a 50% deposit with the final guaranteed count.

  3. Tax Exemption Certification: It is necessary to have a copy of your current tax-exempt certificate on file in our office to handle your account on a tax exempt basis. If we do not have your certificate on file, we must charge tax on all transactions.

  4. Billing/Payment: A detailed authorization/proposal will be sent to you prior to the event. We must have a signed copy of this at least one week prior to the event. Payment is due within 30 days of the dated invoice, or a late payment charge will occur.

  5. It is our policy to use china, glassware and silverware for all meals. Paper products are used for picnics and food purchases “to go”. Linens are used for meals and informal beverage services. Tables that support food and beverage are dressed with linens, at no additional charge (The only exception is a Continental Breakfast. There may be an extra charge for guest tables for a Continental Breakfast.) Tables which would be subject to added fees include guest tables at receptions, gift, cake and display tables. Linen fees will be charged as follows: tablecloths at $3.00 each, skirting rental at $6.00 per skirt.

  6. Cancellations: If you need to cancel your event, a three-business day notice is required to help avoid charges for incurred expenses. Cancellations are to be made with the Catering Manager who can be reached at 262.243.4494.

  7. Entrée selection: The menu for your event must be determined no later than one week before prior to the event. A single entrée selection is recommended for all meal functions. If a second selection is necessary, the exact number of each entrée must be guaranteed 72 hours prior to the event. The higher of the entrée prices will be charged for all entrees. Color-coded place cards, which you must provide, must be used to indicate where the special dietary meal or second entrée selection is to be placed. (Special dietary requests can be accommodated with prior notice.)

  8. Leftovers: Health regulations prohibit leftovers from being taken from a catered event.

  9. Prices listed on menus are subject to change without notice. Upon request, food prices can be quoted in writing 60 days prior to the event.

  11. Concordia University Wisconsin is a non-smoking and alcohol-free environment. Smoking or alcoholic beverages are not allowed in any room, hallway, elevator or restroom.
